What started as a simple line-item cost sheet had grown into a 150+ row database spanning four major categories: concrete removal, asphalt paving, grading and earthwork, and drainage/landscaping. Each line item had material costs, labor rates, equipment costs, and quantity formulas that varied by project scale.
The fundamental problem was findability. Estimators would scroll through hundreds of rows looking for the right line item, often missing items entirely or using outdated unit costs from a previous version of the sheet. Bids went out with incomplete estimates, and the firm was losing money on projects where they had underestimated scope.
We rebuilt the estimator as a web application with a searchable, categorized database. Estimators type a few characters and the matching line items appear instantly — no more scrolling through hundreds of rows. Each line item auto-calculates total cost based on quantity input, and a running project total updates in real time as items are added. The four-category organization mirrors how estimators think about civil projects, making it intuitive to ensure nothing is missed.
